THE WORK OF THE WEDDING PLANNER CONSIST FROM:

BEFORE THE WEDDING:

Wedding planning in Hobart and the work of the wedding planner begins with the first meeting with you. On this meeting we will collect basic information about the planned event:

NEXT, WE DEFINE THE TECHNICAL ASPECTS:

  • The presence on the site covers, tablecloths, furniture, toilet facilities, lightning
  • Find out the power of the sound equipment which is necessary for a comfortable music entertainment
  • Check the possibilities for the on-site pyrotechnic shows (fireworks, fire-show)
  • Refine the terms of parking spaces
  • Confirm work hours of the restaurant and staff
  • We specify the number of employees on your wedding
  • Specify what includes in the rent of a sound system and the cost of the desired additional options
  • Refine the possible gifts (night at the hotel on the site as a gift, cake as a gift, and so on)
  • Determine the possibility of the on-site ceremony at the site or nearby
  • Requests the base menu and estimated prices for the meals and alcohol. 
  • Get acquainted with the event manager and the administration of your venue.

The first step is done, and now you have a date for your wedding!

When we know the place and the date of celebration, the wedding planner agrees a convenient time for you and organizes meetings with contractors, which will be free for your selected date:

  • Photographers
  • Videographers
  • Stylist
  • Bands
  • Florist
  • Master of ceremony and etc.

This is not our first meeting, we already know you, your character and temperament, so we can easily find you “right” contractors for the wedding.

At this stage you can also order art director services:

The task of an art director is to have under his command all your wedding contractors who are responsible for the outer shell of the celebration: florists, decorators, stylist. The art director develops and implements the style of your wedding and also monitors compliance with the concept.

In parallel with the work of the art director, the wedding planner begins to develop an entertainment program for your wedding. We focus on:

  • Your wishes
  •  Your audience
  • Number of guests
  • Capabilities of your venue
  • Specific requests for music, projectors, media equipment.

You can take part in the entertainment program. The wedding planner will help you to make a surprise to your spouse and to your guests.

One of the most important moments – your ceremony. On the meeting with you celebrant you’ll discuss:

  • Arrival of your guests to the site
  • The musical accompaniment while waiting for the bride (live band, DJ, trilling birds)
  • Buffet table (drinks and snacks)
  • The appearance of the bride
  • Musical accompaniment
  • Marriage celebrant’s speech
  • The text of your vows
  •  Exchange of the rings and etc.

The ceremony – is the culmination of your wedding

This is the shortest and the most important moment of your wedding.

Correctly selected music, tuning the romantic mood, touching speech of the marriage celebrant, your vows, that force to catch a breath and to knock a tear from the severest guest – it’s difficult, but feasible work for us.

After all the ceremony details are agreed, entertainment for the guests ready, band/DJ booked, the master of ceremony selected… we move to the details:

  • The decision of questions in regards of transfer and hotel
  • Discussion and approval of the menu, making the payment to the venue
  • Calculation of the necessary amount of alcohol
  • Selection and approval of the wedding cake
  • Developing the wedding time-line, where will be reflected all the events of the wedding day
  • Creation of the guests list with all the contact details. In case of need we will be able to communicate with each of your guests and won’t be bothering you over little things.
  • Finalizing the remaining contractor’s payments

Parallel with this work is underway Art Director:

  • Agrees estimates for the wedding décor
  • All the necessary materials are purchasing
  • All the preliminary work is conducted
  • The order of flowers
  • The stationary is preparing (invitations, sitting cards and etc.)

At the same time you pick the wedding dress with the stylist, accessories, shoes, groom’s suit, hair and make-up trials.     The style of the bride and the groom is going to be the responsibility of the art director which will be themed on the concept of the celebration.

The wedding planner and art director will be visiting the site throughout the entire time of your wedding preparation, control over the preparation, and check compliance the terms of the contract with the venue.

2 weeks before the wedding everything is ready: the dress has been picked up from the bridal salon, decorations are completely ready and waiting for the installation, all the issues with the venues are resolved, additional equipment, if necessary, has been ordered, the menu is approved, the bridal bouquet is agreed.

THE WORK OF THE WEDDING PLANNER ON THE WEDDING DAY:

The wedding planner on the wedding day works in a group with the art director and coordinators. In their work included:

  • Creation of the timeline and the wedding day check-list.
  • Check with suppliers to confirm arrangements for the wedding day.
  • Greet suppliers, direct them to the right points and control of their work.
  • Make sure reception and ceremony are set up as you planned.
  • Assisting the couple, help with all the arising questions.
  • Ensuring proper placement of seating cards, wedding favors, programs, menu cards and etc.
  • Greeting your guests and directing them to the ceremony area, cocktail hour and reception .
  • Control of the wedding coordinators work.
  • Make sure things are running on schedule.
  • Make sure all suppliers receive final payments as needed.
  • Make sure transportation for the guests is running on time.
  • Collect and secure all wedding gifts and keepsakes at the end of the reception.
  • Ensuring you and your groom have a fabulous time at your reception.

  • Wedding planner is not responsible for the services, control of which is difficult or impossible for beyond  the wedding planner’s reasons. 

The work of the wedding coordinators is not included in the package.

Just put yourself in your guest’s shoes. All these questions will definitely arise in your head:

  • You only know where and when the wedding will take place;
  • You don’t know where is a parking or where you can leave your car;
  • You don’t know where is exactly will be a ceremony;
  • You don’t know where exactly the reception will be;
  • You don’t know where toilet facilities are located;
  • You don’t know where you can leave presents for the bride and groom;
  • You don’t know a table where you are going to sit;
  • You don’t know if they have a projector for a video, photos or presentation;
